Named to the Inc. 5,000 list of fastest growing companies in America in 2008 and 2009, Quality Wine & Spirits, a wine and spirits wholesaler based in Atlanta, GA., found that that it was in need of route accounting software (RAS). According to Randall Brown, Director of Systems and Accounting for Quality Wine & Spirits, which services the state of Georgia, one of the main reasons for RAS was to reduce paper invoices. As of September, Quality Wine & Spirits has implemented 15 Movis EnterPrice devices, a mobile handheld computer with a built-in printer that captures customers' signatures, automatically updates changes to invoices and prints a receipt, which helps drivers save time and keep track of vehicle inventory and collected payments.
"Currently, we export the digital signature from the unit for permanent storage and retrieval. This has reduced our filing time and invoice retrieval by five to ten hours a week," Brown says, adding that the company also is saving space as it no longer needs to store paper invoices.
Another one of Brown's goals with the system is to integrate the Movis software with the company's production software. Quality Wine & Spirits operates out of 25,000-square foot warehouse and services over 2,000 on- and off-premise accounts with a fleet of 13. Handling on average 2,5000 SKUs warehouse management also can be a challenging task. "We had some issues where a truck might have an order on it that was not on the route sheet. What Movis software does is force our warehouse employees to check orders on each route before export from our production software, making sure everything is accurate and reconciled. The software help put a control in place, which helped a lot."
Brown continues: "The integration that is being designed for the future is taking the data captured in the field and exporting it back in to our production software. This will decrease our time needed to verify and invoice our shipped orders and set up and post our deposit."
